Job Summary

Central Washington University is recruiting a Pre-Award Grants and Contract Coordinator to join our Graduate Studies & Research team in Ellensburg, Washington. The Role:

The Grant and Contract Coordinator advises and assists faculty and staff in preparing and submitting grant/contract proposals, including developing and approving budgets, and ensuring compliance with all university and agency guidelines. The Coordinator conducts preliminary fiscal and administrative reviews and negotiates with funding agencies on behalf of CWU regarding the specific terms and conditions of grant and contract awards. The Coordinator advises faculty and staff on and coordinates with post-award as necessary. Job Duties

- Advise and assist in preparing and submitting grant and contract proposals, including interpreting guidelines, developing and approving budgets, and ensuring compliance with all university and agency guidelines. Conduct preliminary fiscal and administrative reviews. Analyze proposals for issues of concern regarding budget, staffing, indirect costs, CWU requirements, etc.; communicate these and make recommendations to the faculty member and the relevant appointing authorities. Submit proposals, including communicating and coordinating with any partner institutions.
- Negotiate with funding agencies on behalf of CWU regarding the specific terms and conditions of grant and contract awards. Perform risk assessment of subrecipients. Approve contracts and subcontracts. Complete FFATA reporting.
- Process all new awards.
- Coordinate with contracts and post-award administration on contracts, budgets, amendments, closeout, and other post-award actions, as needed.
- Advise faculty and staff on and coordinates with post-award as necessary.
- Communicate proposal and award information to, and respond to requests from, college deans and department chairs.
- Represent the university at state and national professional meetings.
- Prepare correspondence and reports.
- Prepare required attachments.
- Establish, maintain, and archive records.
- Provide grant-related training.

- Perform other duties as assigned.

Minimum Qualifications
  • Significant experience working with grants and contracts
  • Ability to develop grant and contract budgets
  • Ability to review grants/contracts and subawards/subcontracts
  • Understanding of complex work processes and ability to comprehend complex documents
  • Ability to use Word, Excel, e-mail and additional software applications to produce written correspondence, create and maintain budgets and various other kinds of spreadsheets, respond knowledgably to e-mail inquiries, and perform various tasks. Ability to use various funding agencies' software programs to upload and submit proposals and reports
  • Excellent communication, interpersonal and organizational skills
  • Demonstrated willingness and/or experience working with students and/or co-workers from a wide range of abilities, backgrounds and experiences
  • OR applicable combination of education and/or experience which demonstrates the ability to perform the essential functions of the position

Preferred Qualifications

  • Bachelor's degree
  • CRA (Certified Research Administrator)
  • Experience in grant or contract administration or related experience in higher education
  • Demonstrated commitment to improving access to higher education for students through various activities
  • Experience or interest in mentoring students from a variety of backgrounds
  • Potential to mentor and educate students who will serve diverse populations

Pay, Benefits, & Work Schedule

Salary: This position is based on the range 47 of the Washington State Classification Listing, which has a minimum annual salary of $47,688 and maximum annual salary of $64,092. In accordance with RCW 49.58.110, the above salary reflects the full salary range for this position. Individual placement within the range is based on the candidate's current experience, education, skills, and abilities related to the position.

Schedule/Appointment: Monday - Friday, 8:00am-5:00pm (1 hour lunch)

Working Conditions: Work is performed in an indoor office setting with frequent in-person interactions. It is essential to be able to remain at a desk/computer workstation for prolonged periods of time, perform extensive data entry and other computer-related tasks and create/maintain filing systems for departmental records. Some evening or weekend work and/or occasional travel may be required.
