Office Manager - Skagit/Snohomish County

Compass Health's Mobile Crisis Outreach Teams (MCOT) is looking to hire an Office Manager that will support MCOT and CYFCT (Child Youth & Family Crisis Team) teams in Skagit and Snohomish counties. Primary office location is open to being in either county.

SUMMARY

The Office Manager oversees and provides administrative and clerical support for a complex program or multiple programs. This position is responsible for performing a variety of complex office management and support activities, including confidential clerical support to area Director and regional Program Managers, and consultation with regional Program Managers regarding office management issues.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following, other duties may be assigned

  • Hires, supervises, and trains clerical/support/office personnel.
  • Plans, oversees, and supervises the flow of support work for the Program(s).
  • Provides technical assistance to all support staff as requested by Manager.
  • Develops and implements forms and procedures following accepted organization protocol.
  • Requisitions supplies and equipment according to agency procedures.
  • Oversees and ensures accurate, timely processing of required paperwork including client charts.
  • Circulates as appropriate and keeps up to date all communications received including faxes, manuals, flyers and reports.
  • Provides secretarial support including word processing, filing, faxing, copying, and greeting consumers, answering client and customer questions.
  • Monitors client charts, files, manuals, minutes, clinical paperwork and required reports in conjunction with management and other admin staff.
  • Performs and/or supervises billing and/or other data entry as needed.
  • Participates in regularly scheduled supervision and team meetings.
  • Remains compliant with required trainings and certifications.
  • Behaves in an ethical and professional manner consistent with agency policy, state law, and licensing entities if applicable.
  • Understands and practices safekeeping of client protected health information per Compass Health's HIPAA and other agency policies and procedures.
  • Demonstrates respect for diversity and a commitment to developing multicultural competency and sensitivity.

PROGRAM SPECIFIC DUTIES AND RESPONSIBILITIES

  • Assists with all aspects of managing front office duties for Whatcom MCOT.
  • Participates in program provided Non-Violent Crisis Intervention training so as to be able to support and assist staff as needed.

EDUCATION / EXPERIENCE / CERTIFICATIONS / LICENSES

  • High School Diploma required, AA or BA Degree preferred.
  • 4 years of office management experience, or a comparable combination of education and experience.
  • Experience with office staff management, or demonstrates possession of the required skills, knowledge and abilities related to supervision.
  • Experience in computer billing and bookkeeping preferred.
  • Current First Aid & CPR certification, or ability to obtain within 90 days of hire.
  • Valid Washington State Driver's License including vehicle and appropriate insurance, if applicable.

KNOWLEDGE / SKILLS / ABILITIES

  • Ability to travel as needed and be available by phone.
  • Ability to physically intervene with restraint if necessary. Employee will be trained in Non-violent Crisis Intervention.
  • Demonstrated organizational skills and the ability to multitask within a fast-paced environment.
  • Ability to maintain a positive, solution-focused demeanor when responding to conflicts or problems.
  • Excellent communication skills, written and verbal.
  • Excellent typing, word processing, dictation, and proofreading skills.
  • General computer proficiency, including the ability to utilize electronic medical record systems.
  • Ability to pass pre-employment criminal background check, which may or may not include an additional search by DSHS.
