Job Summary: This position oversees all operational tasks relating to the entry, maintenance, and reporting of Engineered Systems projects. This position will work closely with Project Management and Project Engineers to ensure timely invoicing, procurement, material receipt, and reporting associated with both new and ongoing projects.

Principal Job Functions:
  • Primary contact for Engineered Systems Project Management, Sales, and Engineering Team
  • Research and maintain Engineered Systems Lead Log and customer information
  • Receive and process incoming customer purchase orders. Tasks include:
    • Review and verification of required project documentation
    • Review of current customer standings
    • Review of estimated project costs
    • Creating new project entry
  • Log and maintain new project sales records
  • Gain knowledge of account requirements and special situations; the ability to adapt to evolving project needs.
  • Execute and maintain project related customer invoices and payments
  • Enter and purchase project related components and materials. Tasks include:
    • Determining appropriate source for material
    • Requesting vendor quotes
    • New vendor set up requests
    • Entry based on provided bill of materials
    • Creating and submitting vendor purchase orders
  • Gain specialized procurement knowledge about OTC's products and purchasing practices based on 80/20 principals
  • Expediting and tracking of existing purchase order
  • Work with project management and engineers to suggest and source alternate products based on cost, availability, or specifications.
  • Receive purchase orders for direct shipments based on vendor invoices
  • Approve and Release vendor invoices to accounts payable
  • Record and maintain percent of completion forecast based on information received from vendors and project management team
  • Preform project audits and completions including:
    • Review of customer payments received
    • Review of product and material receipts and inventory allocations
    • Review of project freight costs
    • Request project release through OTC credit team
    • Final project closing within SX system.
  • Gain knowledge of all aspects and options available within SX System, and apply it accordingly to each opportunity

Qualifications:
  • Associate Degree or equivalent from two-year college or technical school; or two (2) years related experience preferred.
  • Highly Organized, with strong attention to detail
  • Strong interpersonal skills to work effectively with customers, vendors, and team members
  • Ability to navigate computer software systems including all Microsoft Office products, high Microsoft Excel proficiency is a plus
  • Working knowledge of the industry and market conditions, with Finishing Industry experience a plus
